2020/2021 SATISFACTORY ACADEMIC PROGRESS (SAP) APPEAL
SATISFACTORY ACADEMIC PROGRESS:
You are currently not meeting the minimum GPA and/or Pace
Satisfactory Academic Progress (SAP)
requirement. If you have experienced extenuating circumstances beyond your control that prevented you from satisfying the SAP requirements to
maintain, you may appeal the status. Documentation is required
.
Appeals submitted without all required forms will be denied.
Submittal of an
appeal does NOT GUARANTEE financial aid reinstatement.
I am appealing for the reinstatement of Financial Aid for the following semester:

Check the appropriate Extenuating Circumstance for which you are appealing:
Serious injury or illness of student or immediate family member.
Domestic Violence.
Attach medical and/or other documentation verifying the date and
duration of the occurrence.
Death of immediate family member (spouse, mother, father, guardian,
sister, brother, son or daughter).
Attach copy of death certificate or obituary.
Loss of employment.
Attach letter from the employer verifying the circumstances and dates of
loss of employment.
Extenuating circumstances that were beyond the student’s control.
Attach third party letter or documents to verify the dates and duration of
the extenuating circumstances.
CHECKLIST: YOUR APPEAL MUST INCLUDE THE DOCUMENTATION LISTED BELOW: Gather all required documents as
indicated above for why you are appealing, complete all tasks below (steps 1-6), complete and sign all three pages of
this appeal, then upload all documents in your MyBC Student Portal under Financial Aid > Required Documents by
using the Manage button; you can upload as many pages as necessary.
1.
Supporting Documentation-You must provide specific supporting documentation for verifying your extenuating
circumstance. Documentation must be uploaded with your appeal.
2.
Probation Contract- You must read, initial, and sign your SAP Probation Rights and Responsibilities; page 2 attached.
3.
SAP Appeal Statement- You must provide a detailed personal statement explaining your extenuating circumstances;
page 3 attached.
4.
Current Student Education Plan (SEP)- If you do not have a current SEP, make an appointment with a counselor to
complete one. Only courses listed on your current Student Education Plan will be approved for financial aid eligibility. A
copy of your SEP must be uploaded with your appeal. In addition, visit the Butte College Career and Academic Profile
(CAP) Tool to verify that your Academic Program is correct.
5.
Complete Satisfactory Academic Progress Tutorial and Quiz- You must complete “The Key Components to the
Satisfactory Academic Progress (SAP) Financial Aid Appeal Process” online tutorial and quiz with a 90% pass rate at
http://butte.get-counseling.com/flagsession/7819. A copy of your SAP Tutorial and Quiz results must be uploaded
with your appeal.
6.
Course Evaluation (CE) required- All classes must show a current course grade and must show passing. The Cour
se
Evaluation (CE) requirement has been temporarily suspended due to the COVID-19 pandem
ic and resulting
campus closure.

PROBATION RIGHTS AND RESPONSIBILITIES
Read, initial each, sign and submit this form along with your appeal. If you are approved for Probation as a result of your SAP
Appeal for Extenuating Circumstances, you will be eligible for financial aid for this semester. Submitting this form along with your
appeal does NOT guarantee approval. If you are approved, completing this form now will expedite processing your financial aid.
Satisfactory Academic Progress means maintaining (1) a minimum cumulative GPA of at least a 2.0; (2) a cumulative
Pace of at least 66.66%; and (3) meeting my Education Goal within the specified maximum timeframe of 150%.
I understand that I am on Financial Aid Probation status and that approval for reinstatement of Financial
Aid is for this semester only.
I understand that I must be currently enrolled in the semester for which I am appealing for reinstatement of
Financial Aid and that submitting an appeal does not guarantee approval and reinstatement of Financial Aid.
I understand that if I withdraw, or stop attending, any or all of the course in which I am enrolled, I will be terminated
from Financial Aid in the subsequent semester.
I understand that grades of “F”, FW”, W”, “NP”,“EW”, and “INC” are NOT acceptable and will have a
negative impact on my ability to receive Financial Aid and to meet and maintain Satisfactory Academic Progress
standards.
I understand that my Financial Aid will only cover courses that meet my specified Education Goal.
I understand that this semester I must complete a minimum of 66.66% of all units in which I am enrolled and earn
a minimum semester GPA of 2.0. I understand that by doing so I am aiming to achieve the cumulative standards
of Satisfactory Academic Progress.
I understand that attendance and participation in my courses are critical to my success. If I must miss a class, I
will make arrangements with my instructor(s) to make up all missed coursework.
I understand that it is my responsibility to seek regular and ongoing tutoring when needed to successfully pass
my courses.
I understand that student loans are a form of Financial Aid and that Butte College has the right to reduce or deny
a student’s request for a loan on a case-by-case basis after review of the student’s academic and/or borrowing history.
I understand that continued eligibility for Financial Aid beyond this semester is contingent upon my meeting the
SAP criteria as stated above.
I understand that my Satisfactory Academic Progress will be reviewed at the end of each semester (and summer)
and that my Financial Aid will be delayed until the review is complete and eligibility is confirmed.
I understand that I will be unaided next semester if I do not meet the terms of my Probation, and I accept
that it is my responsibility to cover the costs for next semester if I lose my eligibility for Financial Aid.
I have read and fully understand the SAP regulations and consequences. I understand that failure to comply with these
standards will result in loss of future Financial Aid eligibility.

“Making SAP” means meeting ALL THREE criteria of the Minimum Cumulative Standards required: (1) 2.0 GPA, or
grade point average; (2) 66.66% Pace, or overall completion rate; and (3) Maximum Timeframe of 90 units for Associate
degree, 45 units for Certificate of Achievement, or 150% of hours needed to reach Education Goal.
