Conference Travel Fund Overview
The conference travel fund provides travel grants for undergraduate students in the Health and
Exercise Science (HES) department, or its successor department or programs, to present at
national or international academic or scientific conferences. The grant will provide funding for
conference registration, air and ground transportation, lodging, and meals. The student may
apply for up to $500, including up to $250 in matching funds by the HES department, for a total
possible award of $750. Growth of the endowed fund may provide for additional funded
proposals.
A. Eligibility
• Must have an abstract officially accepted for conference presentation (e.g., oral or
poster).
• Must be a declared degree-seeking HES, or its successor department or programs,
undergraduate student major, or a HES major graduate no more than three months post
graduation.
• If the student is traveling after graduation from St. Thomas, the accepted research must
have been carried out while enrolled as an undergraduate HES student.
B. Funding Guidelines
• The grant will typically be paid as a reimbursement of actual expenses, after the student
has completed his or her travel.
• The amount of each travel grant will depend upon need and funds available.
• The HES department, or its successor department or programs, will provide up to $250 in
matching funds.
• Students may be supported for more than one trip per academic year. However, no
student will receive more than $750 from the Bridget A. Duoos Endowed Travel Fund in
one academic year.
• Funding restrictions will follow those identified for the Grants and Research Office travel
grant. For example, the grant will not pay for alcohol or food and drink ordered by room
service, but will provide reimbursement for essential expenses related exclusively to
travel, and regular meals (i.e., $10 for breakfast, $15 for lunch, and $20 for dinner).
C. Application
The application will include the following components:
1. Fully completed application form (will include projected budget)
2. Abstract of submitted research
3. Official confirmation from the conference verifying the student’s acceptance as a
presenter.
4. Letter from the faculty mentor confirming approval of student’s travel to present at the
conference.
Applications must be received at least 30 calendar days prior to departure. All reimbursement
paperwork must be submitted within 30 days of the students return.
