Temporary Alternate Work Location Agreement
This agreement is used in conjunction with the Emergency Response Plan (COVID-19) and SUNY’s Statewide
Telecommuting Pilot Program.
The following constitutes an agreement for performing work at an alternate work location (hereinafter referred to
as “location”) between ______________________________, (hereinafter referred to as “employee”) and SUNY
Plattsburgh, (hereinafter referred to as “college”).
Term & Renewal
The agreement is effective beginning _______________. Continuation of this agreement is subject to review to
ensure that it meets the operational needs of the institution. Both parties recognize that the decision to continue
this agreement is at the sole discretion of the college.
Scope of Responsibility
The employee’s responsibilities while participating in this agreement, including the specific resulting work
product, shall be defined and attached. The employee is responsible for providing their own equipment and any
costs associated with the alternate work location (such as personal telephone service fees, personal internet
fees, etc.) To connect to your office computer from home, the initial set-up must be done from your campus
computer and requires a phone call to the Helpdesk (564-4433). There is no additional setup once you get home
and you can use ANY computer that has wifi and a web browser to connect.
The supervisor’s responsibilities include recording work activities on a weekly basis via the Work Log for
Alternate Work Location COVID-19 Google Form.
Policies
The employee agrees to abide by all federal and state laws and the rules and policies of the State University of
New York, and the college, including, but not limited to, employment policies, information policies, and applicable
collective bargaining agreements.
Requirements
The employee shall participate in all trainings and staff meetings via videoconference or telephone; check-in with
their supervisor daily; maintain a log of daily activities to be monitored by his/her immediate supervisor; properly
complete all attendance and leave records; and complete all institutionally required compliance trainings by the
deadline.
Work Location
The employee’s location shall be at the employee’s place of residence: _____________________________.
This address shall serve as the primary work location for this employee. The employee is responsible for
notifying the college in advance of any change of location.
Compensation & Benefits
Employee compensation and benefits shall not be affected by this agreement.
Communication
In order to maintain close communication and standards of professionalism while working from the alternate
work location during the normal hours of operation for SUNY Plattsburgh the employee shall:
Be available to supervisor, coworkers, or others as appropriate by telephone and email during regular
business hours or as otherwise specified by immediate supervisor
Return calls and emails within 24 hours during a traditional work week (Monday-Friday)

The employee will maintain contact with his/her department and colleagues, including attending meetings
when requested to do so by their supervisor.
Information Security
The employee working from the location will follow all procedures outlined in the college’s information security
policy. In addition, the employee is expected to take reasonable precautions to preserve the security of
information including:
The protection of college data on disk, hardcopy, or on portable devices from theft, loss, or
unauthorized access during transit and at the location.
Only accessing the college’s campus network via a secure VPN connection.
If feasible, only directly connecting your device via network cable to the home router for access to the
internet. If this is not possible, a wireless connection to the router can be used. The wireless must be
password protected with WPA2 security that has been changed from the default password.
Ensuring that approved firewalls and anti-virus software are on all alternate site computers, are not
disabled or removed, and are updated daily with current definitions. All preconfigured security
processes, including automatic operating system security updates, should not be modified by the
employee.
Ensuring that any sensitive information in hardcopy form is returned to the office or shredded.
Following the college’s guidelines pertaining to the handling of public records.
Limitations
The employee must observe the following limitations when working from the location:
The employee cannot operate a business or work for another employer during work hours.
The employee cannot use college equipment for personal use or other non-state related business.
The employee cannot allow others to use college equipment or access the college’s network,
databases, or other college assets.
Safety
The employee confirms that he/she has a suitable place to work at the alternate work location and that
to the best of his/her knowledge the location is safe from conditions that could pose a hazard to health
and safety or danger to college equipment, employees, or third parties.
The employee is covered for purposes of worker’s compensation when he/she is conducting college
business and performing the duties consistent with the employee’s performance program.
Termination
The agreement is not a guarantee, and can be terminated by the college.
Termination of this agreement shall effect the location of the employee’s primary place of work and not the
appointment of the employee to the institution. In the event that this agreement is terminated, the employee
shall return to work at their original campus location as long as the employee holds an appointment to the
institution or charge appropriate accruals if they are unable to report to work.
Agreement
The College may amend this Agreement at any time. A copy of this agreement and any addendums or
amendments will be provided to the employee and placed in the employee’s personnel file.
Other Terms and Conditions
Nothing in this agreement shall conflict with federal and state laws, the policies of the Board of Trustees of the
State University of New York, or applicable collective bargaining agreements.
