Party leader info
Don’t forget to fill in and return your forms at least four weeks before arrival, without them we cannot plan your
programme or allocate your group to their dormitories. Also, please remember to bring your fire safety form(s) with you.
If this is your first Kingswood visit, please feel free to call us to plan a preview visit.
Preparing for your visit
Please ask parents to label clothing either by writing or
stitching their child’s name on the inside where it can be
easily seen.
Please encourage every member of your party to bring a
named water bottle with them. This can be re-filled in the
dining hall throughout the day.
Please let your group know that they’ll need to wear long
sleeves and long trousers for most activities – and long
hair must be tied back.
Kingswood staff are fully trained in first aid, but we cannot
give out or administer medication. Please ensure any
member of your party who requires medication, including
asthma inhalers, brings it with them. This includes sun
cream during warmer weather.
From time to time, for example during lunch breaks there
will be times when there are no activities running.
Please ask your party to bring roll-on deodorants as fire
alarms are sensitive to aerosols.
We strongly suggest all students turn their lights out by
10.30pm. If your students are not asleep by this time,
please ask them to remain quiet.
We have a small shop on centre where students can buy
souvenirs and snacks.
Mobile signals can be intermittent across our centres so
please use our landline number as an emergency contact
for your trip.
Kingswood cannot accept liability for the loss of any
personal property your party may bring.
Parties are divided into groups of up to 15 – so 45
students will be split into three groups. It is up to you who
goes in which group, and you may want to give this some
thought before arrival.
Once you have received your programme and dormitory
allocation, we recommend you share this with your group
before arrival.
On centre
Upon arrival, we will ask you to sign a ‘Guest number
confirmation form’ agreeing the number of students and
adults in your party. We will check this form against our
own booking record.
If any member of your group has their birthday while on
centre, we’d be happy to supply a birthday cake for a small
additional charge.
During wet weather, outdoor shoes must go in the boot
racks available and guests can only wear indoor shoes
inside the accommodation
Regardless of weather, outdoor shoes should never be
worn in the bathrooms.
Guests can use the drying facilities on centre – and in
certain circumstances washing facilities will also be
available.
You can park on centre but we cannot be held responsible
for any loss or damage.
Each adult in your party will be given a key to their room.
We offer wireless internet at specific locations at each
centre. Please ask our Guest Services Team for the
password.
A visitor badge will be given to all Party Leaders upon
arrival. This MUST be worn at all times.
Could we also make you aware that as part of our child
safeguarding procedures, the party leader responsible for
your group will be asked to provide photo ID on arrival at
the centre. This can be a passport, driving licence or photo
ID card.
Please complete and return these forms to us at least 4

1. Introduction
We very much look forward to welcoming you and your students to our centre.
We have put together this manual for your information, to clarify the role and responsibilities of a Party Leader and to
hopefully answer some of the queries you may have.
2. Our staff
In the main, the team you will deal with are:
1. Customer Services Team
2. Kingswood Course Director who is designated to look after your group during your stay
3. Director of Studies (if your group is doing English)
4. We also have a programming and instructor team on-site who set up and organise the activity programme
During your induction you will be advised which members of the team you will communicate with.
3. Arrivals and departures
If you have booked a transfer as part of your package, on your arrival at the airport/ferry port/train station, you
will typically be met and welcomed by one of our staff. They will be wearing our branded t-shirts (green or orange
in colour) and will be carrying a sign with ‘Kingswood’ on. They will show you to your coach for your transfer to the
centre.
When you arrive at the centre you will be greeted by your designated Kingswood Course Director who will give you some
preliminary information about the centre, and show you and your students to your rooms.
Your Kingswood Course Director will invite you to a welcome meeting. At this meeting you will be given more detailed
information and have the opportunity to ask questions. It is essential you attend this meeting (see induction meeting).
At least two days before departure, check that all tickets and passports are in order.
If you have booked a coach for your departure, the centre will give you the exact pick up time. Before leaving the centre,
please ensure that all keys have been handed in and that you have completed your final feedback form. Please also ensure
well in advance that everyone has their passport!

4. Meetings
A successful Kingswood trip requires our staff and your Party Leaders to work together to ensure that the students stay
is an enjoyable, educational and memorable one. One of the principle duties of our Customer Services Team is to hold
regular meetings with you, to hear any suggestions, comments and requirements you may have. It is essential that you
attend these meetings, as the Party Leaders’ active involvement is necessary, and vital for the programme to work to
everyone’s satisfaction. Whilst Kingswood operates an open door policy at all of our centres with the customer services
area open 24 hours per day - if you do not take part in the planned Party Leader meetings, it may be difficult for our
managers to devote much time if the office is continuously busy.
Initial meeting
On arrival at centre you will be allocated one of our Activity Leaders who will be your designated Course Director for
the duration of your stay. The duties of the designated Group Leader at this meeting will be to:
1. Provide you with your room allocation and assist you with check in
2. Provide you and your group with an initial site tour and in particular a walk through of the fire drill procedure
3. Provide you with the outline of the course for your group
4. Give you your allocated meal times
5. Give you the activity lines that your students will need to go to at the beginning of each activity/lesson period
6. Remind you of your main responsibilities with regards to supervision of your students (as outlined in the Party Leader
Agreement)
7. Fire lists – obtain completed room lists from you for our fire drill log book
Your designated Course Director will be on hand at regular points throughout your stay to check that you and your group are
happy with the service provided.
Your student group will also have an induction which will allow them to become familiar with the rules and regulations on
centre.

Induction meeting
On the first day of lessons, a formal induction meeting is organised for all Party Leaders. This meeting is run by a mem-
ber of our Customer Services team. During this meeting you will be briefed on the following points:
1. Who’s who on site
2. Emergency procedures (see health and safety section later on in the manual)
3. Daily routine
4. Important rules of the centre
5. The paperwork you will need to complete
6. Discipline and damages procedure
7. Housekeeping concerns: laundry, dry rooms, storage of valuables
8. Information on the local area
9. Your activity programme
10. Lessons: You will be made aware of the type of lessons run at Kingswood and of a basic syllabus outline. If you wish to
observe lessons, you must have prior agreement from the Director of Studies. Should you wish to browse through the
academic materials we have available you may do so but only during lesson times when the teachers’ preparation room is
not so busy.
Further meetings
The purpose of these meetings is to go through the planned programme for the coming days. Your attendance is vital as the
programme is discussed here and requests can be made and hopefully incorporated into the planning. The half and full day trips
are planned well in advance but again it is at these meetings that the itinerary for these trips will be discussed in detail. These
meetings also serve as a forum for talking about daily housekeeping concerns or passing on other day-to-day information.

5. The academic programme
Organisation of lessons
On the first day of the course, students are normally tested, graded according to ability and allocated to a class.
Students are graded according to their age and level.
Students will attend lessons according to the number of hours they have booked. The lesson times are broken into
three session times – each lasting an hour – a sample is as follows:
Sample morning sessions: 9.15-10.15, 10.30-11.30, 11.45-12.45
Sample afternoon sessions: 14-15, 15.15-16.15, 16.30-17.30
These lessons cover all four of the basic skills: reading, writing, listening and speaking, with the emphasis always on the fluency
skills of listening and speaking. Pronunciation and grammar are also included. There is a real emphasis on building confidence
and practising speaking in front of others. All Kingswood teachers have appropriate qualifications and experience of teaching
English as a foreign language. Most importantly, we aim to make the lessons enjoyable, thus motivating the students to learn.
Class changes cannot take place without teacher or Director of Studies (DOS ) authorisation. If a class change is agreed
with the DOS the change will take place. The aim is to cause the least disruption to all students and the lesson programme.
Please note that children are not supervised by Kingswood staff during the breaks.
Attendance in class
The importance of attending lessons should be impressed upon students and permission to be absent will only be given under
exceptional circumstances agreed by you and in consultation with management. If a student is absent and our staff have not
been consulted and informed beforehand, the Party Leader will be advised, so that disciplinary action can be discussed. Students
should be aware that failure to attend may result in the Certificates of Attendance being withheld and disciplinary action.
Should a student become ill and misses class it is also vital that you tell the DOS, otherwise their time and effort will be spent
accounting for the student.
6. Activities
On-site activities
Students will participate in many different activities during their stay.
Groups will be divided into a maximum of 15 and allocated an activity line which they need to remain in for the duration of
their stay. Our activity leaders will meet the students at the lines at the beginning of each activity along with their Party Leader.
All weather fun
Many of the activities at Kingswood are outdoors. Our staff run these activities in all weathers and students can get quite wet
and dirty not only from the varying weather conditions but sometimes from the activities themselves! There are drying rooms
for wet and muddy clothing in each of the accommodation blocks – so please make sure the students use them! We advise that
students bring suitable clothing – please see our “What to bring” guide.
In the evenings, the Kingswood staff also organise various activities which are part of the compulsory programme. There is a
wide variety of evening activities available at our centres – from discos to movie night and camp fires to problem solving. Party
Leaders are encouraged to participate actively in all these events. Our activities finish at 21:00 but areas will be made available
to groups who want to have some time to relax together as a group. Bedtime is at 22:00.
Attendance at activities
Activities are compulsory for all students. For health and safety reasons we must know where students are at all times.
Therefore, if a student does not show up for an activity session the Party Leader will be asked to find them and account for their
whereabouts. Please also explain to your students that, if your group decides to absent itself from any part of the programmed
activities, those activities/excursions which are missed cannot be offered at an alternative time.

7. Excursion
Generally students will go on one full day and one half day trip each for each 7 night stay. These are arranged as part of the
booking process.
Trips are a very enjoyable part of the programme for students and Party Leaders and ensuring your students observe a few
basic rules will make each trip pleasurable for everyone.
The trips are all planned well in advance of your arrival. You should have received a plan of the programme from your agent in
your home country prior to departure. You will also receive a more detailed copy of this programme with your welcome pack
when you arrive at the centre. The itinerary for each trip including routing, arrival and departure times, and lunch stops, places to
be visited and return times will be gone through in detail at the regular meetings with Customer Services. Please note that the
itinerary for a trip cannot be changed once you have departed the centre.
Kingswood will provide staff to supervise the students on all trips but the Party Leader has an important supervisory
role too. Communication and co-operation between Party Leaders and Kingswood staff is especially important. The
Party Leader is vital in ensuring:
The students have understood the meeting points and times
Students should not leave the group without permission from you and our staff member
All members of the party return to the meeting point at the agreed time
Trips are usually to well-known places of cultural or historical interest and are designed to be a mixture of enjoyment and
learning.
Trips have a ratio of at least one member of Kingswood staff to every 15 students with a minimum of two staff per
excursion. Our staff will lead the trip, however, our staff are not trained guides so if more detail is needed, let us know in
advance of your visit and we can look at hiring an official guide for you at a supplementary cost.
It is important to understand that the excursion programme is planned in advance and we are unable to make changes to
excursions once your programme has been issued.
8. Your duties at Kingswood
Kingswood staff are there to supervise and help the students, but you are responsible for your group of students. Kingswood
staff will always be on hand to share this responsibility but outside classes and specific programmed activities the Party Leader
is responsible for their students’ good behaviour. You are very important to your students, especially for those who have never
been away from home before. Upon arrival we ask all Party Leaders to sign an agreement which outlines their responsibilities
during their time with us.
Party Leader agreement
As a party leader for your group we ask you to read and understand the following rules.
1. I and/or other adults accompanying the group agree to act ‘in loco parentis’ at all times and understand Kingswood staff
provide activity instruction only to groups during sessions.
2. I am responsible for the students in my group whilst in the accommodation block.
3. I am responsible for locking my student’s bedrooms.
4. I will ensure that my students are mindful and respectful of the other groups in their accommodation and keep the noise
level down after 22:00.
5. I will not enter the rooms of students who are not part of my group.
6. I will accompany my group for meals at the correct time and ensure they form an orderly queue.
7. I will supervise my group during every mealtime and ensure their behaviour is acceptable.
8. I will ensure my group respect the dining facilities and clear their plates to the wash area at the end of each meal.
9. I need to accompany my group to their activity lines and I will make sure my group is on time for each session.
10. At least one Party Leader must be with each line of 15 students during activity sessions.
11. At least one Party Leader needs to be on centre and contactable during English lessons.
12. It is my responsibility to inform my group that all bed linen is to be removed and put in designated area on departure.
13. I will ensure that my group has vacated their rooms before 9:30 on the morning of departure.
14. I will meet with a member of the customer services team prior to departure to complete the guest feedback.
15. I must return all keys and visitor badges to customer services prior to departure.
16. My group and I will treat everyone with respect, regardless of race, religion, gender or special educational needs.
17. I will wear a Kingswood visitor badge at all times during my stay on centre.
I agree to follow the rules set by the staff and in this agreement. I understand that they are for the safety and enjoyment of my
group and myself. I understand that failure to follow these rules may lead to investigation and further action.

All Kingswood centres have overnight duty staff who will patrol the site throughout the night to ensure that all students are in
their rooms, not disturbing other guests and are safe.
A member of Kingswood management team will be on call each night in case of an emergency and a contact number will be

9. Kingswood Code of Behaviour
Our Code of Behaviour is based upon mutual respect and tolerance. Kingswood is about safely having fun, making friends and
trying new and positive experiences. We insist that our code is followed at all times. As an organisation we are also committed
to and support anti-bullying campaigns and will not tolerate anti-social practices whenever and wherever they occur. Please
remember that we always reserve the right under our terms and conditions of booking, to exclude any child after holiday
commencement, if their behaviour is incompatible with the general enjoyment and well-being of others.
Kingswood fully supports the National Anti-Bullying Campaign and will not tolerate bullying of any nature at our centres.
For the safety and well-being of all guests, we reserve the right to invoke Clause 7.6 of our Booking Conditions should any
guest refuse to adhere to this Code of Behaviour. “We reserve the right to decline to accept or cancel any booking or exclude
any child at any time prior to or during the holiday if in our reasonable opinion the behaviour of that child is or may be
disruptive, dangerous, annoying, or incompatible with the general enjoyment of other visitors.”
All students need to understand the standards of behaviour we expect. Please discuss this Code of Behaviour with them
and make sure that they understand and agree to the rules.
Code of Behaviour
Bullying is not allowed. This includes name-calling, fighting, telling lies about someone, not letting someone take part in a
game or treating someone differently because of who they are.
Do not use threatening behaviour, swear or use insulting language. Everyone should be friendly and polite to each other.
Do not deliberately damage the property of Kingswood or other guests. If you break something by accident please notify a
member of Kingswood staff as soon as you can.
Do not leave the site without informing Kingswood staff. Students must not leave the site unaccompanied.
Do not smoke, drink alcohol or take illegal drugs.
Do not take things that don’t belong to you.
Do not have inappropriate relationships with other guests.
Always tell a Kingswood staff member if you are upset about something, are worried about someone or need help with
something.
Do not use the internet to look at or post inappropriate or offensive content.
Do not display sexualised behaviour.
Please keep rooms clean and tidy at all times.
Do not eat or drink in the dormitory, except water.
Do not enter a dormitory if it is not yours, even if you have been invited.
Do not use spray deodorant or hairspray in your bedroom. Only use it in the shower room.
Do not leave your dormitory after lights-out, unless you need to use the bathroom, you need help from a member of
Kingswood staff or the fire alarm sounds.
Do not use mobile phones in the dormitory.
Do not use mobile phones during activities.
Do not take photographs/videos of other students or staff.
Do not use mobile phones to look at, show others, or post inappropriate or offensive content.
We are unable to monitor the student’s use of their phone at all times, and as such we are unable to police what content is
being accessed or services used. The parent’s decision as to whether to allow their child to take a phone to Kingswood must be
based on the parent’s trust in their child’s ability to follow these rules.

10. Health, safety and welfare
Kingswood prides itself on having a very strong welfare policy towards the students under its care and we feel it is
important that you are aware of our Safeguarding Policy. This will be made available to you in the teachers retreat.
Student disciplinary procedure
Students and their parents are our customers and we do not lose sight of this. However, students away from home
normally enjoy greater freedom than would otherwise be the case. Kingswood will set proper and well understood
boundaries (through things such as the induction, and in class). Should a student cross those boundaries then they may
need to be disciplined. The Party Leader’s co-operation is needed in maintaining discipline and in communicating rules
and regulations to the students.
The following disciplinary procedure will take place as and when required:
Informal warnings are often used to deal with small student misdemeanours that do not warrant a formal record. In reality
the Party Leader needs to remind students of the boundaries that have been set out. Examples may include but not restricted
to: talking out of turn in class, talking in their own language during class time, running in the diner, loud behaviour after bed.
Party Leaders need to be aware that informal warnings do not enter a student into formal or structured disciplinary framework.
Therefore, Party Leaders should also be aware that students will be referred to the management in the event of more serious
misbehaviour.
Formal verbal warnings (defined here as verbal warnings recorded as incidents) should be used when a student’s behaviour is
slightly more serious given the fact that should it (or a similar event) happen again then more serious disciplinary sanctions
would be employed. Examples may include but not restricted to; frequently demonstrating similar behaviour to that listed
above, bullying, non-malicious room damage, more severe classroom misbehaviour, disrespect to staff. Importantly formal verbal
warnings also allow the Party Leader to become formally involved and their support is required to maintain their students’
discipline.
Written warnings can be issued in cases of serious or continuous misconduct. Written warnings will be issued in a case where if
such behaviour was repeated or continued the student would enter the final disciplinary stage. Written warnings can, of course,
be supplemented by detention. Common examples for issuing written warnings may include but not restricted to; some types of
bullying, vandalism, setting off fire extinguishers.
Expulsion of a student from the school and/or programme may occur when a student’s behaviour is bad enough that it either;
seriously endangers them or others, continuously and consciously disrupts the programme for themselves or others, becomes
uncontrollable for centre staff, breaks certain British laws or was repeated after a written warning.
NB. Students and Party Leaders must all know the Complaints Procedure. Should a disagreement arise this procedure can be
employed to settle any disputes.

Security at your centre
Party Leaders are encouraged to take care of any special valuables including passports for their group.
Specific security arrangements will be in force at each centre and these will be outlined to you and your students by the
Customer Services Manager at the induction meeting. It is important you ensure that your students fully understand these
arrangements, as their pastoral care is ultimately the Party Leader’s responsibility.
Students are given an ID card with an emergency telephone number at the beginning of their stay; they must keep this with
them at all times, but particularly whenever they leave the campus. Party Leaders should also ensure that they have emergency
contact numbers in their own country. Due to the nature of our activities we also ask for parental consent forms for each
student travelling with the group.
Certain basic guidelines are common to all centres and all students. You should advise them:
to keep their student ID card on them at all times
to remember the police are there to help and protect, and can be asked for assistance
to be careful crossing the road, and to remember that vehicles drive on the left in the UK
not to go out alone or without permission
not to carry large amounts of cash around with them

Most insurance policies require you to report loss or theft to the police and to obtain an incident report or an incident report
number before they will consider any claim. If you intend to make an insurance claim for loss or theft, you MUST report the
loss or theft as soon as it is discovered. Kingswood staff will do their utmost to make any difficult or time-consuming insurance
procedures easier for Party Leaders.

Illness and emergencies
There will be details of local doctors, pharmacies and hospitals on your notice board at the centre as well as in your welcome
pack and centre manual. If you have a sick student our staff will be able to contact a doctor for you, though UK doctors do not
often make house calls, and it will be necessary for you to accompany the student to the local doctor’s surgery.
All of our activity staff are first aid trained at Kingswood and we have a designated First Aid room - however it should be noted
that our staff are not able to administer any medication to students.
In all cases, our staff, both at the centre and at Head Office, will be on call to assist you and help you deal with any unfortunate
occurrences, such as illness or accident, as smoothly and quickly as possible. The Emergency Services are:

ambulance
coastguard
To call any Emergency service in the UK, dial “999” on any telephone. This call is free. An operator will answer immediately.
Ask for the service you require and give your address or position.
sick students should be reported to Kingswood Management immediately
a local doctor may be contacted and an appointment for a temporary citizen made
any taxi fares/medication need to be paid for by the student. The student’s medical insurance should reimburse these costs
in emergencies an ambulance will be called and you MUST accompany the student to hospital for translation purposes.
Where possible, a member of our staff will also accompany you
Please note, only emergency medical treatment will be carried out free of charge. Students may have to pay fees as a
private patient at the discretion of the doctor. However, the UK has reciprocal health agreements with the following
countries;
European Economic Area countries (EEA):
Austria, Belgium, Cyprus, Bulgaria, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Italy, Latvia,

plus Iceland Liechtenstein and Norway. Switzerland by special arrangement.

It is therefore necessary for you and your students to keep all receipts for medical expenses (for example, taxi and bus fares,
consultation fees, medicine, x-rays). You should check the insurance policy you have arranged for details of medical cover.
You will probably find that most policies cover only necessary medical expenses.

Fire
In Britain, it is legally necessary for visitors attending educational institutions even for short courses to participate in fire
briefings and that strict safety procedure be observed. This is obviously for the safety of all concerned, and we would ask
Party Leaders to stress this point to their students. We ask you to make sure students know where the fire exits are, and what
procedure to follow when they hear the alarm. This will be in addition to the fire evacuation walk our staff will do with you on
arrival and to the student induction.
You should explain to your students that, for everyone’s safety, they are not allowed to use any naked light, including lighted
candles, in their rooms, in any other part of the building or in the grounds. It is also best not to use spray deodorants or hair
spray as the fire/ smoke detectors are very sensitive to them.
All educational institutions are fitted with alarms, extinguishers, fire doors and other fire equipment. It must be clearly
understood by all students that wilfully setting off the fire alarm is a criminal offence in the UK and will be dealt with
accordingly. Kingswood take a very serious view of letting off extinguishers and damage to any other safety or fire equipment,
including removing or damaging fire or health and safety notices, as such damage affects the health and safety of every person
on the premises. This vandalism will be severely punished.
11. Paperwork
Fire list form
On arrival you will receive a blank fire list form if you have not previously sent this prior to your arrival or handed one to
Kingswood staff. This will need to be completed as soon as you know what students are in what bedrooms, this must be
completed and returned to us before bedtime on the first night of your stay. It is vital that you hand this paperwork to the
designated Kingswood Course Director for fire regulation purposes.
Damage form
This report allows us to report any damages which may occur during your stay. A Damage Report is completed any time damage
is reported to our team.
If one of your students causes damage, you will be asked to recover the cost of repairs directly from the student, unless there
is a prior agreement with your agency. If the student does not have the money you both will have to sign the damage report so
that we can recover the money, from your agent who will then invoice the student’s parents.
When you cannot be sure which particular students caused damage it is imperative to stress to students that unless the guilty
person(s) comes forward, all students within a designated area, or indeed all students at the centre will have to pay a percentage
of the costs. Whilst this may seem unfair, Kingswood should not be expected to cover the cost of the damage deliberately
caused by students.

12. The complaints procedure
If you do have any problem whilst on a Kingswood centre that you wish to be resolved it is best to start with the Guest Services
team at the centre. In most cases, these people will be able to assist you without the need for further action. The next person
in the hierarchy is the Centre Manager – they can normally be counted on to resolve the vast majority of operational issues.
However, if the matter relates to the actions of one of these staff or you feel that the matter has not been resolved satisfactorily
you should contact the Head Office on 0044 1603 309970. If you have a major complaint, please refer the matter in writing to
our Customer Resolution Manager on complaints@inspiring-learning.com or at Kingswood Learning & Leisure Group Ltd, 6

What happens next?
We take all complaints seriously and an immediate investigation will be carried out. We will reply within ten working days from
when we receive your complaint. If it is not possible to give you a full reply within this time - for instance, because a detailed
investigation is required - we will give you an interim response, telling you what is being done to deal with your complaint,
when you can expect the full reply and from whom. Kingswood cannot accept liability for any complaint which is not notified to
Kingswood in writing within 28 days of the departure date.

Your child is welcome to bring their mobile with them but we
recommend you make sure this is insured as our policy doesn’t
cover mobile phones. We are unable to accept any responsibility
for mobile phones and have clear policies on their use, in
particular that they may not be used during activities, meal
times or after children have retired for the night or by other
children.

Expensive designer trainers and clothing, computer tablets,
too much money, games consoles, skateboards, pen knives,
lighters and matches, food (your child will get plenty at camp!),
expensive cameras, aerosols (e.g. deodorants, hairspray) and
torches.
Lost and found
Kingswood accepts no responsibility for guests’ items left on
camp. When contacted, we will however, make every effort to
locate lost items and return them to you subject to a postage
and packaging charge.
You might want to also include this packing list with your
child’s things – we find it helps them remember what
they’ve packed at the end of their stay. Please make sure all
personal items are labelled with the child’s name.
