Explanation
Equipment maintenance/repair costs are not allowable as a direct charge to federally funded awards, including federal pass
through. There is one exception – maintenance/repair costs for equipment dedicated to an award through which the
equipment was acquired are allowable as direct costs to that project (Form AS550 not required). This includes grants that
are continuations.
Maintenance/repair costs are permitted to be charged as direct costs on non-federal agreements when used exclusively on
a sponsored project or proportional benefit can be established by departmental documentation. The PI must submit an
AS550 to SPA for review to determine whether the charges meet the test of reasonableness, allocability, and allowability.
